The word "approval" in the title does not refer to a separate manual review step in the normal user path for Binance Pay batch payments. You upload a file, confirm, complete 2FA, and the transaction enters processing. Official documentation usually says it is completed within one minute. The situations where you really need to "reconcile" are when the system tells you after upload that some rows are invalid, or when a payment has been sent but someone did not receive it. These two problems have different causes and need different handling.

First, know which path you are using
Binance Pay batch payments have two completely different entry points, and their rules and status feedback are very different.
"Send Multiple" for normal users in the App or on the web is for individual users who want to send crypto to multiple recipients. The entry is inside the Binance Pay feature. You upload a template, validate, confirm, and complete 2FA. The process is relatively direct. Official documentation does not describe any step that requires manual approval. After validation passes, the status is either processing or completed.
Payouts initiated by merchants through the Merchant Management Platform or API are for verified Binance Pay merchants and are used for settlements, commissions, reimbursements, and other business scenarios. This path has a separate API status system (ACCEPTED, PROCESSING, SUCCESS, PART_SUCCESS, FAILED, etc.). The failure reasons are also more detailed, including recipient not registered, KYC not completed, insufficient balance, and so on. If you are operating in the merchant backend, you need to look at these batch statuses when reconciling, not the simple prompts in the normal user interface.
The rest of this article focuses on the normal user path. Special points about the merchant path are explained where relevant.
After upload: first check the number of "valid" and "invalid" rows
After the file is uploaded and validated, the page shows the total transfer amount, the number of valid recipients, and the number of invalid recipients. This is the first and most important checkpoint for reconciliation.
Invalid rows will not enter the payment. They are blocked by the system. The reason may be an incorrect recipient ID or email format, a problem with the amount format, or the recipient account status does not support receiving. Before you click continue, you need to find these rows and correct them or remove them. Once you confirm and complete 2FA submission, the payment cannot be refunded. If you find after submission that a row was filled in incorrectly, there is no "cancel" button.
The judgment at this step is simple: if the number of invalid rows is not zero, do not rush to continue. Go back to your file and check each row against the problem markers shown by the system. Correct the file and upload it again until the invalid rows are zero, or until you clearly know which rows you have given up. Rows that are given up are not included in this batch. If you still need to pay them later, you must handle them separately.
After the payment is sent: how to confirm arrival
After a normal user batch payment is completed, the recipient's Binance account usually receives the funds within about one minute. Official instructions say that recipients will receive a notification, and you will also receive a notification after the transaction is completed. The funds enter the recipient's Funding Wallet, not the Spot Wallet. This is clearly stated in the merchant path documentation, and the arrival logic for the normal user path is the same.
If you need to confirm whether a specific payment really arrived, ask the recipient to check the balance and transaction history of their Binance account's Funding Wallet. The "transaction completed" status you can see and the balance that actually appears in the other person's account are two different things. The former is a system status, while the latter is confirmation on the recipient's side. Batch payments do not provide a per-transaction on-chain transaction hash that you can give to the other person to check, because they use Binance's internal ledger transfer, not an on-chain transfer.
Failure reconciliation: three common situations
Invalid rows reported during upload validation. This is the easiest type to handle. The system tells you there is a problem before submission, so you still have a chance to correct it. Common causes are mostly related to the file format: the recipient identifier format (Binance ID or email) does not match the template requirements, the amount column contains non-numeric characters, or required columns are empty. Check each item according to the template's column names and format. Do not add or delete columns or change the header by yourself.
Some recipients did not receive the payment after submission. In the normal user path, if the transaction status shows completed but a recipient says they did not receive anything, first ask them to confirm they are checking the Funding Wallet, not the Spot Wallet. If the Funding Wallet also has nothing, check whether the Binance ID or email you entered in the file matches that person's account. Entering the wrong ID means the money went into someone else's Funding Wallet, and batch payments cannot be refunded. What you can do in this situation depends on whether the other person is willing to return the funds. The platform does not intervene in this kind of mistaken payment caused by incorrect entry.
Special failure statuses in the merchant path. If you are using merchant Payout, the meaning of PART_SUCCESS needs careful attention: it may mean your merchant account balance was insufficient so some transfers were not executed, it may mean the recipient has not registered a Binance account yet and the funds are in a waiting state, or it may mean the recipient did not complete KYC within 72 hours and the amount was returned to your merchant account. When non-Binance users receive payment by email, they receive a registration invitation. If they do not complete registration and KYC within 72 hours, the amount is automatically returned. When you see PART_SUCCESS during reconciliation, first identify which reason applies, then decide whether to add balance and resend, wait for the recipient to register, or confirm the return and handle it separately.
An easy-to-miss limit
In the merchant API path, each batch can contain up to 500 transactions, and the maximum amount per transfer is equivalent to 80,000 USD. Whether the normal user path has the same transaction count or amount limit is not clearly stated in the current official FAQ. If you need to handle a large number of recipients or a large amount per person, it is better to try uploading in the interface first and rely on the system validation feedback, rather than assuming the limits of the two paths are the same.
In addition, if a batch payment recipient is not yet a Binance user, the merchant path supports sending an email invitation to register. But whether the normal user path supports paying non-Binance users is not equally clearly stated in the official documentation. If your recipient list includes people who do not have a Binance account, first confirm whether the path you are using supports it. Do not simply assume it does.
The standard for a completed operation
For normal users, the standard for completion is not just "clicked confirm." Three things must be true at the same time: invalid rows have been handled, the transaction status shows completed, and the recipients who need confirmation have seen the corresponding amount in their Funding Wallet. If any of these is not true, go back to the corresponding step above and troubleshoot. For the merchant path, the standard is that the batch status is SUCCESS, or that for every unsuccessful transaction in PART_SUCCESS, you already have a clear follow-up plan.
